Exhibiting in Delhi? Where Your Team Can Stay

If you are exhibiting at a trade fair in Delhi, the stand is only half of the logistics. The other half is where your team sleeps. Booth crews start early, finish late, and need somewhere to eat, wash clothes and be quiet. For a week-long event, five hotel rooms is a large bill and a lot of separate corridors.

This guide is for the person who has been told to “sort out the stay”. It covers where the two big venues are, how long it takes to reach them from our homes, and what to ask before you book.

The two venues most teams are heading to

Bharat Mandapam is in Pragati Maidan, in central Delhi. Yashobhoomi, the India International Convention and Expo Centre, is in Dwarka, in the south-west of the city, and its own website says it is about 10 km from the airport and Aerocity.

They are on opposite sides of the city, so a stay that suits one will not suit the other. Check which venue your event is at first.

Measured drive times from our homes

These are road distances from the middle of each area, measured on a map at a quiet time of day with no traffic. On show days, with queues at the gates and rush-hour roads, allow a lot more. Use the figures to compare areas, not to plan to the minute.

We should be plain. Our homes are not near Yashobhoomi. The nearest are in Gurgaon, and we have only a few homes there. If your event is in Dwarka, ask us, and we will say honestly whether we have a sensible home. For Bharat Mandapam, South Delhi works well.

Why a home can suit a booth crew

For a team of three to eight, one or two homes can work better than separate hotel rooms.

• One address, so that everyone leaves and returns together.
• A kitchen. Most of our homes have one. A very early start does not depend on a restaurant being open.
• Space to prepare. A living area to lay out materials, charge equipment and hold a morning briefing.
• Cost. Compare the total for a home against the total for the rooms. Stays of 7 nights or more get 10% off the nightly rate, and 14 nights or more get 15%. A 14% service fee is added and shown before you pay.

Hotels win where you want a front desk at all hours, daily housekeeping or an on-site restaurant. Our homes are private apartments with a caretaker, and we do not offer those things.

What to ask before you book for an event

1. Check-in and check-out times. Setting up before the show often means arriving early. Early check-in is subject to availability and can carry a fee set by the owner, so ask before you travel.
2. The real headcount. The number you give is strictly enforced, and only guests named in the booking may stay overnight. Give us everyone who will sleep there, including temporary staff.
3. Wi-Fi. Every listing has Wi-Fi. If the team will work in the evenings, ask about the connection in the home you like.
4. Laundry and housekeeping. Ask how these work for a stay of a week.
5. Parking. Most of our homes have parking. If you are bringing a van with materials, check the one you want.
6. An invoice. Share your company GSTIN with our team when you book and we will arrange a GST invoice. Keep the confirmation number with it.
7. Cancellation. Event dates are fixed, but attendance is not. Each home is Easy, Moderate or Strict, shown on the listing. Easy gives a full refund of the stay amount, minus the service fee, if you cancel at least 24 hours before check-in. Changing dates counts as cancelling and booking again.

Paying and approvals

Bookings are approved by the owner before payment is taken, and payment is online. We do not collect cash at the property. Some bookings allow a 50% advance, with the balance paid online before check-in.

Every guest shows valid government photo ID at check-in, which the caretaker checks. If the team includes foreign nationals, they need a passport and a valid Indian visa.

Booking early

Dates around a big event tend to fill up. If you know the event dates, ask us early. Tell us the venue, how many people, which nights, and whether anyone needs a quiet room, and we will suggest homes.
